Leave-behind — not an ATS packet
BidBook
Bid Coordinator · Preconstruction Operations · Permanent float
Objective
Make the next bid coordinator dangerous. Match every invitation to bid in one log, customer / GC and hit rate, surface what is due before it is late, and hand the estimator a clean package instead of a pile of emails. Do not replace the person in the chair. Clear the chair so they can run the bid.
Professional summary
Construction-native bid coordinator that lives inside Salesforce. Aggregates invitations to bid from 20+ platforms and email into one bid log. Tracks ITBs, proposals, addenda, supplier quotes, and follow-ups without a second spreadsheet. Built for specialty trades and commercial contractors who already use (or will use) a real CRM instead of eight data islands.
How to make the next coordinator dangerous
Hire the person. Give them this on day one — not a shared drive and a password spreadsheet.
- One log, not twenty inboxes. ITBs from Dodge, ConstructConnect, BidClerk, Building Radar, email, and the rest land in one Salesforce bid log. Duplicates get caught. Nothing lives in “I thought you had it.”
- Monday is a list, not a manhunt. Pursue, no-bid, submitted, follow-up, awarded — on the record before the meeting starts.
- Addenda cannot hide. Dates, drawings, and versions sit on the opportunity. The coordinator is not the search engine.
- Suppliers get chased without a second spreadsheet. RFQs out, quotes compared, coverage visible before you are short a trade.
- The estimator gets a package, not a pile. Scope, files, history with that GC, last price — handed over, not reconstructed.
- After award, the job leaves preconstruction clean. Contract checklist done, handoff into BidBook Work. Field does not start from archaeology.
That is the job. The coordinator still calls the GC, still runs the clock, still owns the relationship. They just stop spending the day being the filing cabinet.

Selected experience
Bid Coordinator — Always on duty
Specialty contractors & commercial GCs · Works with Salesforce & AI · 2011–present (product lineage)
- Pull invitations to bid from Dodge, ConstructConnect, BidClerk, Building Radar, email, and related boards into one searchable log.
- Queue bids for sales and estimating; flag due dates, assignments, and missing coverage before Monday’s meeting.
- Hold drawings, addenda, and proposal versions on the opportunity — not in a shared drive named Final_FINAL_v7.
- Invite approved suppliers to a scope, compare quotes, and keep the budget attached to the bid.
- After award, complete the contract checklist and hand the job to BidBook Work so field ops is not starting from inbox archaeology.
Monday meeting analyst
Bid review, forecast, and exception management
- Replace the “who has what?” round-robin with a live pipeline: pursue, no-bid, submitted, follow-up, awarded.
- Show potential revenue, backlog, and targets in one view so leadership is not reconciling three spreadsheets.
Questions I will fail
- Can I grab coffee for the team? No.
- Can I write the estimate? No. Estimators estimate.
- Can I replace the coordinator? No. I make that person look like they cloned themselves.
- Can I tell you which GC dumps addenda on Thursday? Yes.
Education & platform
- Runs on the same cloud as Salesforce (AppExchange ISV + consulting partner)
- Construction workflow, not generic CRM objects with a hard-hat icon
- Integrations in the field: Outlook, QuickBooks, Acumatica, Bluebeam, and related takeoff / accounting stacks
- AI construction-specific automation

How to interview the desk
Twenty minutes. Bring one live ITB or last week’s log. Hire the coordinator. Give them this.
Trial shift
Start me on a live bid week. Import the log, run Monday from the pipeline, and see whether the coordinator’s chair is lighter before you buy the whole desk.
